Free Profile Assessment Call Critical

30–45 minute structured call or in-person session to evaluate the student’s academic background and set realistic expectations upfront. This is your single biggest tool to prevent unrealistic expectations.

Consultancy Agreement & Fee Structure Before Any Work

Sign a written agreement before collecting any documents or starting shortlisting. This protects both parties.

Document Collection Checklist Missing Docs = Delays

Collect ALL documents before starting any university shortlisting or application. Never submit an application with incomplete documents.

University Shortlisting & Strategy Based on Profile

Prepare a 3-tier university list only after all documents are in hand and profile is verified. Never promise specific universities before seeing actual grades.

  • 3–4 Reach universities (ambitious, <40% chance)
  • 4–5 Match universities (strong fit, 50–70% chance)
  • 2–3 Safety universities (near-certain admit)
  • Tuition fees verified per program
  • Intake deadline confirmed for each
  • Language requirement confirmed

  • Student signs off on final shortlist
Expectation management: Show the student the actual admission statistics or minimum requirements from each university website. Never shortlist based on assumptions.
06Step

SOP / Motivation Letter & CV Preparation High Impact

The SOP is one of the most deciding factors for European universities. Invest proper time — minimum 3 drafts.

  • Student completes SOP questionnaire form
  • Draft 1 prepared by ZEE team
  • Review & feedback from student
  • Draft 2 revised & refined
  • Final draft approved & signed off
  • Separate SOP tailored per university (if needed)
  • CV formatted to European Europass / standard
  • Recommendation letters drafted & collected
07Step

Application Submission On-Time Only

Submit applications at least 3–4 weeks before the deadline to allow for portal issues, missing document requests, or re-submissions.

  • All documents uploaded / emailed per university format
  • Application portal account created & shared with student
  • Application fee paid (record receipt)
  • Confirmation / reference number saved
  • Submission deadline logged in tracker
  • Student notified of submission with screenshot proof
  • Follow-up email scheduled (2 weeks post-submission)
🚫 Never submit to a university without confirming the student’s passport validity covers the full intended study period + visa processing time (typically 6–9 months).
Phase 4 — Offers & Visa
08Step

Offer Letter Review & Acceptance Milestone

When an offer arrives, review it carefully before the student accepts — check conditions, deadlines, and tuition amounts.

  • Offer letter matches applied program

  • Conditions (IELTS, final degree) reviewed
  • Acceptance deadline noted
  • Enrollment / confirmation deposit deadline noted

09Step

Blocked Account & Financial Proof Germany / Austria

Most Schengen student visa applications require a blocked account showing sufficient funds. Start this at least 6–8 weeks before visa appointment.

  • Blocked account provider selected (Fintiba, Expatrio, Deutsche Bank)
  • Required amount confirmed (currently ~€11,208/year for Germany)
  • Account opening documents submitted
  • Funds transferred & account activated
  • Blocked account certificate obtained
  • Health insurance arranged (public or DAAD)
Blocked account processing can take 3–5 weeks. Do not leave this until after visa appointment is booked.
10Step

Visa Application Preparation No Shortcuts

Schengen student visa requires precise documentation. A missing or inconsistent document is the most common reason for rejection.
